Overview

IDG Communications is excited to be seeking an Event Operations Executive to join our Western Europe/META events team, based in London, reporting to our Senior Events Manager.

We have growth opportunity for our events business in Western Europe/META. We currently run a diverse mix of events for our high-quality technology audiences ranging from intimate round tables to large conferences and awards. We doubled the size of our events business in 2021 and now aim to build on that with further growth.

 

To enable this, we are strengthening our events team and are looking for an Events Operations Executive. IDG run approximately 40-50 events per year in the region ranging from large-scale awards conference and annual summits to more exclusive roundtable dinner and discussions – all across virtual, in-person and hybrid formats.

Responsibilities

  • Supporting with the research, development, planning and execution of events based on specific objectives, including the development of proposals and timelines, stakeholder and supplier management, virtual and physical live event production and post-event reporting
  • Managing a portion of the live roundtable events including leading operations with stakeholders, attendee management and in-action event communications
  • Developing campaign timelines and event information literature to keep sponsors informed throughout their event campaign
  • Supporting with the build and management of virtual event environments and video conferencing platforms such as Hopin, Zoom Pro and Teams. This will include content and asset upload, sponsor brand amplification, data tracking and reporting, platform testing and customising data fields
  • Supporting the Senior Event Manager with supplier contract negotiation and researching new suppliers and venues
  • Researching new event concepts and activities that could elevate IDG’s existing event portfolio and delight event participants
  • Analysing and creating reports on all aspects of our events to report and present back to clients
  • Contributing to the build and design of event microsites and registration pages to ensure campaign deliverables are met within time sensitive

Qualifications

  • A confident and creative individual with good interpersonal communication skills who can effectively communicate with internal and external stakeholders at all levels
  • We champion innovation, fresh ideas and are always looking for ways to improve efficiencies in the way that we work. This role would be suited to someone with a genuine interest and experience in the events and/or technology industry who can adapt to and provide fresh perspective on the changing events landscape
  • A detail-oriented and organised individual who is proficient in Microsoft Office Suite, in particular Excel
  • A numerical individual who is confident with data manipulation and presenting it in a digestible format for different audiences
  • Experience with event management platforms such as Cvent and Hopin is desirable
  • Experience of events operations
  • Strong Organizational skills.
  • Strong Interpersonal and Communication skills.
  • The ability and experience to work to tight deadlines.
  • The confidence and ability to deal with external sponsors, vendors and internal commercial and editorial stakeholders
